Listing a Job Vacancy

What is Necessary

Preparing for the staff recruitment process is essential. Before listing and advertising a position, begin with a thorough analysis of the job. You are encouraged to schedule a consultation with Library Human Resources to help assess your department’s operational needs.

Identify the key duties and responsibilities of the role, along with the knowledge, skills, and abilities (KSAs) required to perform them effectively. For each major duty, indicate the percentage of time the employee is expected to devote to it. Arrange the duties in order of importance, and provide clear, detailed descriptions to guide both the recruitment and selection processes.

To initiate a staff recruitment process, please submit the following documents and information to Library HR by emailing hrd-library@berkeley.edu. This will generate a Jira ticket, which will be assigned to the Human Resources Generalist for review.

1.)  Classified Job Description: All job descriptions—both represented and non-represented—must be classified by the Compensation Department.  The Physical, Environmental, and Mental (PEM) demands are included within the job description and are not provided as a separate document. The PEM section is intended to help determine the physical, environmental, and mental requirements of the position.

Please review and prepare the job description using Job Builder (JDXpert) on the People & Culture website.

2.) Request to Recruit Form (RTR): Complete Sections A through F of the RTR. This form indicates whether the position is full-time or part-time, permanent or temporary, and identifies the source of funding.

  • Library HR will complete the “Library HRD Section Only” and will route the form for signatures.
  • Salary Range: For salary information, please go to the UC Title Code System. In the Title Code System Lookup, you will need to provide the title code.

3.) Department Organizational Chart: Submit the most up-to-date organizational chart for your department, including the position being recruited.

4.) Search Committee Names: Provide the first and last names of the search committee members. Members should be individuals who will work closely with the employee in the role on a regular basis.
