Marking: Scanning items out of department

Scope

Items with the work order department Doe Library - MAIN Acquisitions Department must be scanned out of the department before they are routed to Preservation or Access Services.

This procedure outlines the steps for scanning newly cataloged books in Metadata Services out of the department and creating call number labels in LIBstick.

Procedure

To process the books and prepare them to leave the department, do the following:

  1. Ensure your location is set to the work order department Doe Library - MAIN Acquisitions Department.
  2. Select Fulfillment > Scan In Items.
  3. On the Scan In Items page, enter the following:
    1. Automatically print slip: No
    2. Set Status To: select any status (e.g., Copy Cataloging)
    3. Done: Yes
    4. Scan item barcode: Scan in the item's barcode and click OK (if it's not automatic)
      • The item's Request/Process Type changes to Transit for Reshelving.
  4. Click on the Print in LIBstick button for the title that was just scanned.
  5. Confirm that the call number was successfully sent to LIBstick and and make any necessary formatting changes as covered in Marking: Printing labels in LIBstick.
  6. Scan the barcode of the next book on the Marking truck.
    • The most recently scanned book will appear at the top of the list in Alma, but the labels in LIBstick will display in the order the barcodes were scanned. Make sure to keep the books in the order they were scanned.
  7. Continue scanning the barcodes of the books on the Marking truck until 48 books have been scanned (each sheet has 48 labels).
  8. When 48 labels have been sent to LIBstick and are ready to print, click on the Clear List button in Alma to refresh and start scanning the next 48 books.

Subject Specialty Library (SSL) items

Subject Specialty Library (SSL) items should not be scanned out of the department. SSL items should be placed in the appropriate outgoing bin and should still be in the Acquisitions Technical Services work order when sent to the SSLs. Staff at the SSL will scan the item out when the work is complete at their location. If you come across SSL items when preparing the call number labels, refer them to supervisor.
